Accounting for working hours, expenses and lump sums

Efforts on projects can be easily invoiced via the "Invoice project" function. Depending on the billing type of the project, lump sum amounts (e.g. partial payments), time entries or expenses (e.g. charges, third-party costs, etc.) can be billed.

Although the "Create Invoice" function is available in every project menu, the best practice is to use the "Billable Expenses" dashboard module. Since it shows at a glance which amounts are billable on which projects.

Click on a project and a dialog appears with an overview of the current billing status of the project. Within the form, you can enter the following billing information:

  • the project to be billed

  • the billing period

  • the invoice amount - lump sum or based on time entries

  • Expenses that were previously stored in the project management

After you have confirmed the billing by clicking on "Save", CoffeeCup generates a billing report. You have the possibility to export all the time entries and then just continue with easybill/sevdesk.

Attention: If the checkbox "Bill all time entries in this period" is selected, all time entries will be locked accordingly and can no longer be changed by employees.

You can find the invoiced amounts of a project in the project settings in the "Invoices" area. There you have the possibility to view all billings and to delete them if necessary.

Attention: If time entries and expenses are locked by the billing, you have know the possibility to unlock those, when deleting the invoice.

Billing with easybill

If you use easybill as your accounting tool, click "Continue with easybill". All invoice data, such as time periods, working hours and amounts are then automatically transferred to easybill and included in the invoice. You can find more information about easybill here.

Billing with sevDesk

If you use sevDesk as your accounting tool, click "Continue with sevDesk". All invoice data, such as time periods, working hours and amounts are then automatically transferred to sevDesk and included in the invoice. You can find more information about sevDesk here.
