In the following video we will give you an overview of the Team Board, explain how you can easily create teams and provide some information regarding permissions.

You will find the Team Board in the menu on the left side.

Team Board - columns

In the Team Board following KPIs are available:

  • type of team member, such as "employed" or "freelancer"

  • weekly hours of the employee

  • billable hours as a percentage

  • billable forecast

  • tags

  • user role

  • individual public holiday region

Customize your Team Board

You can customize your board by activating or deactivating columns according to your preferences. Click on "Adjust Board Layout" in the context menu in the upper right corner.

For example, if you don't want to see the holiday regions, simply uncheck the box, and the column will disappear.

You can also show all archived items, hide teams without users, and close team folders automatically.

View staff specific data

When you click on a team member, you can view important information such as personal details, remuneration, work hours, vacation days and overtime. Click on "analyze" and you will get an overview of the hours and performance.

By clicking on the calendar icon, you can switch directly to team planning. In the context menu there are some more actions, such as show time entries, export work times, archive or delete the employee, send the reset instructions or copy the password link.

You will also find those actions directly at the team member.

You have the possibility to use following shortcuts, to reach different areas in Coffeecup:

  • hold Option while clicking on an entry: you will switch directly to the editing mask of the employee

  • hold Shift while clicking on an entry: you will switch directly to the team planning

  • hold Shift + Option while clicking on an entry: you will switch directly to the Worktime Analytics to view all time entries of the employee

Create teams

The Team Board allows you to subdivide your company into teams. To create a new team, simply click on the plus sign in the top right corner. Here, you can change the team name and add new team members.

Note: It is important that a user can only be part of one team. So the user will be assigned to the new team and removed from the previous team. Via the checkbox you can decide if you want the user’s time entries to be assigned to the new team as well. This has an impact on the team statistics.

You have also some more action directly at the team. By clicking on the plus sign, you can invite a new member to the team.

You can filter your view by tags and use the search field to find specific staff or teams. Next to the search field, there is the option to collapse all teams for a better overview.

Team permissions

Via the settings, you can view the roles and rights, which are company-based. If the permission for extended staff management is enabled, the role can manage which users belong to each team.

When you click on the team in the Team Board you have the possibility to give the members team specific rights, that include “View Time Entries”, "Manage Absences” and "Limited Staff Access".

If you hover over the icons tooltips appear, that describe the specific rights:

  • View Time Entries: Allows viewing of time entries from all members of this team. allows access to Validation and Time Entry Analytics, scoped to members and time entries associated with this team.

  • Manage Absences: Allows creating, approving, and editing absences for all members of this team. Allows viewing of special absence types.

  • Limited Staff Access: Allows access to the Team Board and to a limited version of Staff Analytics, which provides view-only access to the vacation, overtime, and revenue/performance information for members of this team.
