Step by step guide for connecting Salesforce to Zapier

Requirements:

    • “Multi-step Zaps” and “Premium Apps” functionality is required

    • A 14-day free trial is available for the Professional package

  • Salesforce Account

  • CoffeeCup Account

Getting Started

  • Copy the following Zap Template to your Zapier account

Step by Step configuration

  • Each step requires the selection of an account

  • At the end of each step, Test the trigger or action to provide data in order to set up the next step

1. Updated Field on Record in Salesforce

  • Salesforce Object → Opportunity

  • Field → Probability (%)

2. Find Account in Salesforce

  • Salesforce Object → Account

  • Field to Search by → Account ID

  • Search Value → 1. Account ID

  • Should this step by considered a success when nothing is found? → No

  • Create Salesforce Record if it doesn’t exist yet? → False (unchecked)

3. Only continue if…

  • Continue if… → 1. Probability → (number) is greater than → ___

4. Find Client in CoffeeCup

  • Name → 2. Name

  • ClientId → blank

  • Should this step be considered a "success" when nothing is found? → Yes

5. Create or Update Client in CoffeeCup

  • Name → 2. Name

  • Client Id → 4. ID

  • Other fields are “optional” and can be mapped to various fields from Salesforce. Some example values are shown in the screenshots below

6. Find Project in CoffeeCup

  • Name → 1. Name

  • Should this step be considered a "success" when nothing is found? → Yes

7. Create or Update Project in CoffeeCup

  • Name → 1. Name

  • Project Id → 6. ID

  • Client Id → 5. ID

  • Other fields are optional. Recommended:

    • Start date → 1. Close Date

    • Budget → 1. Amount

    • If your usecase involves updating additional fields in CoffeeCup, please contact CoffeeCup support via Intercom from with the CoffeeCup website or via email for further assistance.

8. Send Channel Message in Slack (Optional)

This step confirms that the Zap has run correctly. Slack can be replaced with an alternative messaging system, or the step can be deleted completely.

  • Channel → custom

  • Message Text → “Updated 7. Name for client 7. Client Name.” (example)

  • Send as Bot → Yes

  • Include a link to this Zap? → No
