Time Tracking via the Desktop Logger

Time tracking is a basic function of CoffeeCup. Here you will get to know the time tracking via the desktop logger.

The desktop logger allows you to save time logging in to the browser client every day to track your time entries. We recommend it for team members with the account-type “User”, since all they use the app for is tracking and managing time entries. In addition to the "Desktop Logger", there are three other options available for time tracking.

Types of time tracking:

Download Desktop Logger

To use the desktop logger, you need to download it onto your computer first. Click on "Settings" in the menu bar of the browser client, then click on "Integrations". Here, you will find the download links for the desktop logger for Mac and Windows. Then, connect the desktop logger with your CoffeeCup account.

Create time entries & breaks

As soon as you’re set up, the logger will automatically open the app on the current date. Then you can add time entries or breaks as you work, but also add time entries retroactively and plan ahead for the future.

How to create a time entry?

Click on the "+" icon on the bottom right to create a new time entry.

In this open entry, note which project, task, and ticket you will work on. Using the description field to provide additional details about the entry is recommended. This ensures that the client will not have any unanswered questions during the billing process. Then, click on "Save Entry" or "Start Timer".

Note: It is also possible to press enter to start the timer.

How to create a break?

Click on the "+" icon on the bottom right to create a new break.

Note: You will only see breaks if the admin has enabled them for you.

Switch from the time entry to the break symbol to create a new break. You can fill in a description and then click on "Save Entry".

Desktop Logger - features

By default, the desktop logger displays the current week overview and the current weekday. You can switch between the weeks and individual days via the calendar. If you click on the week selection, a month selection appears where you can enter an exact date.

View your planned hours on different projects for the entire week:

If you hover over the planning pill, a tooltip appears with the following information:

  • planned and tracked hours

  • name of the project and client

  • project status

  • time tracking enabled or disabled

You can see your hours worked for the day and the billable amount.

If you click on a time entry or break, you can adjust it at any time.

Click on the gear wheel in the upper right corner to log out.

If you click on the clock symbol next to the gear wheel, you can switch directly to the browser client time tracking view.

Manage & Deleting time entries

To edit a time entry, navigate to the desired entry in the logger and click on it. You can then change all contents of your time entry and save or delete it.

Note: If projects are archived for which time entries have been created or individual time entries are marked as billed, the time entries cannot be edited. For this purpose, the admin or PM of the projects must remove the marking for the billing of working times and the archiving of the projects.
