Analyze Project Data

Here you can check whether a project is successful and learn important KPIs about it.

In the Project Board you can get better insights to a specific project, its metrics and statistics in more detail. These information are especially important for project managers to check and evaluate how successful a project is.

To analyze your projects, navigate to the Project Board and simply click on the specific project.

Note: The "Admin" and "PM" user roles have visibility and access to the Project Board in CoffeeCup.

The project overview is divided into these three areas:

  • Project KPIs

  • Periodic and cumulative development

  • Allocation of Tasks, Team, People and References

Project KPIs

The upper line displays the KPIs, such as how much was already invoiced, the remaining budget, the billable hours in percent, the profitability of the project and the billable forecast for this specific project.

Note: Depending on the project type, different KPIs are displayed here.

Periodic and cumulative development

You can view the effort, the costs, the surplus/deficit and the profit for the project either in the periodic view in the form of a bar chart or in the cumulative view in the form of a line chart. Hovering over the charts will show you the amount of money or time per month. You can always choose between the period you want to see, for example, since the start of the project or for a specific year.

Allocation of Tasks, Team, People and References

You can switch between the views for Tasks, People, Teams and References at any time. In the task view, all tasks of the project are displayed. For each task you can see the duration, the amount in money and time and the percentage of the task in the project. You can edit each task via its context menu or display the corresponding time entries in the Worktime Analytics.

In the employee view, you can see the work duration, the effort in money and hours and the percentage of work of your employees for this project. Via the context menu of an employee you can edit, analyze or display his time entries or go directly to the staff planning.

In the teams view you can see the work duration, the effort in money and hours and the percentage of work of the whole team for this project. Via the context menu of a team you can edit, analyze or display its time entries or go directly to the team planning.

In the reference view, you can see the duration of work on this ticket, the effort in money and time, and the percentage of work on the respective reference. Via the context menu of a reference, you can display the time entries for this reference.

Note: As a project manager, you will only see the projects for which you are the project manager.

Context menu

In the context menu you can duplicate, archive or delete the project and view time entries for this project in the Worktime Analytics by clicking on "Show Time Entries". Next to the context menu, there is the calendar, where you jump directly into the project planning for this specific project.

Next to the calendar you will find two buttons where you can switch between the "Analytics" and "Editing" view of the project.

Note: As an "Admin" you can also use the context menu to create the invoice for a project.
